How to use the Import Tool to import your Resources & Items to Labstep (including their metadata).

To import your inventory, please make sure you have a spreadsheet in CSV or XLSX format. It must also contain the column "Name". You can also store any other metadata, such as use by dates or suppliers.


Importing Items and Resources

Whether you are creating a single resource item or multiple items from a resource, our inventory management tool has a feature that allows you to do both. We provide a separate tool to import resources and items, meaning you can import your items and specify their metadata the same way you would for resources.

Labstep team tip: In the item import tool, each row corresponds to an item. If you want to add a specific name for each, you must have an "Item Name" column. Otherwise, the name specified will be for both the resource and the item– items will be numbered.

Accessing the Resource Import Tool

To access the resource import tool:

  1. Navigate to your inventory

  2. Click on the downward arrow next to "New Resource"

  3. Click "Import"

  4. Click "Upload XLSX/CSV"

  5. Amend any invalid column or row

  6. Click "Import"

Accessing the Item Import Tool

To access the item import tool (import resources and items at the same time):

  1. Navigate to your inventory

  2. Click on the downward arrow next to "New Item"

  3. Click "Import"

  4. Click "Upload XLSX/CSV"

  5. Amend any invalid column or row

  6. Click on "Import"

Matching Metadata Fields

By clicking on the header, you can match them to existing metadata fields for either resources or items. Otherwise, you can create a new template metadata field (resource and item).

Import History

You can view your import history by clicking the downwards arrow next to "New Resource" or "New Item" and opening the import tool. At the bottom, you'll then be able to see your previous imports, including dates and times!

Reverting an Import

You can revert an import for both resources and items by opening the Import tool, clicking on the vertical ellipsis ⋮ , and then "Revert Import".

All the imported resources, items and metadata will be deleted from your inventory. Please note that reverting an import cannot be undone. You'll have to import the resource(s)/item(s) again by uploading your spreadsheet.
